Once you have decided to take the 2nd step. Please click on the application Icon to the right. By filling out the Pre application, you will provide Bancard Systems with your personal business information and answer a few questions regarding your business structure and existing equipment. Bancard Systems will then provide you with the agreement pages which fully discloses all rates and terms. Once you have signed and faxed/e-mailed back a copy of the signature pages, we will then submit your information to our underwriting department for an approval. When filling out an application does NOT mean you have committed to our services. This form is the 2nd step in the start up process.

10 ways to reduce the hassle and expenses of

Chargebacks

Chargebacks are a costly part of accepting credit cards. However, merchants can minimize chargebacks at the time of the sale by achieving maximum transaction accuracy.

1.Control the risk for Mail, Phone & Internet TransactionsCard not present transactions such as Mail Order/Telphone Order (MO/TO) and Internet transactions are more prone to chargebacks. Here are some ways to reduce the risk of unwanted chargebacks. KEEPING TRACK OF PROBLOMATIC CUSTOMERS - by doing this you can identify high-risk transactions, block specific credit card numbers and disallow futher purchases. AVOID MULTIPLE ORDERS from the same customer, this will reduce the potential for fraud. ADDRESS VERIFICATION. Make sure to verifly the cardholders address before completing the sale. CUSTOMER SERVICE PHONE NUMBER, Make sure your customer service number is printed on your receipt. This makes it easier for your customers to resolve disputes by phone through the chargeback process.
2. Get manual imprint and signatureIf you are unable to swipe a card through your terminal, it is highly recomended to obtain a manual imprint of the card. Faliure to obtain a complete copy can result in the following: FRAUDULANT TRANSACTIONA) NO IMPRINT OBTAINEDB) NO CARDHOLDER AUTHORIZATIONC) SIGNATURE NOT OBTAINED
7. Merchandise or service not received by cardholderGoods and services must be delivered before charging the customer. To avoid this type of chargeback, you must obtain signed proof of delivery for all merchandise or services that are not immediately delivered at the point of sale.
3. Respond promptly to request for transaction copiesTo reduce retrieval request chargebacks:A) Keep record of your sales receipts.B) Be sure all sales receipts are legible.C) Make sure your transactions are easy to identify.D) Put your customer service number on the cardholders statement and or receipt.
8. Authorization proceduresA decline code indicates that the card issuer does not approve the transaction. When you receive a decline code, you should return the card to the customer and ask for another form of payment.Do NOT continue to attempt authorization on the card. If you are suspicious of a card transaction, contact your voice authorization center and request a "code 10" authorizationYou will be given information on how to proceed with the transaction.
4.Credit / RefundsTo prevent credit not processed chargebacks, quickly process refunds to your customers. Your customers should always be made aware of your refund policy in writing. Refunds must be made using the same credit card as the original sale. Never refund a card purchased by cash or check
9. Cardholder disputes quality of merchandise / serviceIt is difficult to overcome a dispute from a customer who challenges the quality of your merchandise or service. Such disputes can result in the following chargebacks:Merchandise/Service not as describedCardholder dispute - not elsewhere classified Defective merchandiseAlways keep accurate record of each transaction because you may need to provide documentation in your response to a customer's dispute.
5. Duplicate transactionsAvoid duplicate transactions!Process only one transaction at a time. balance your deposits at the end of the day.check your batch totals to make sure no customers were charged twice. If so immediately credit the card holders account.
10. Account numbers dont matchAfter swiping the card, make sure the card number and displayed account number match.Ask phone customers to read back the card number to ensure accuracy. Non-matching transactions can result in the following chargebacks:Account number not on fileNon-matching account number
6. Recurring transactionsTo avoid recurring chargebacks you should take immediate action when a customer request to cancel a recurring transaction. Your promptness will reduce the risk of repetitive chargebacks from the same customer.
